Descriptions of Officer/Board Member Positions

Additional information can be found in the By-Laws and By-Laws First Amendment.

We encourage WSFC members to consider serving on the Board of Directors.  Eligibility for board service includes at least one year of sobriety and one year of continuous membership in the Club. Below are descriptions of each board position including the specific skills required for that position.

Odd Numbered Year Elected Officers

  • The President needs leadership and decision making capabilities and follows the By-Laws for the good of the club and its future. Experience in a previous board position is important.

    The President shall be the Chairman of the Board and preside over all Director meetings, membership meetings, and any other meetings that are deemed necessary by the Board. He/she is responsible for the enforcement of all the By-Laws, rules and regulations, and should perform such duties as are incident to the office, or as may be assigned by assent of the Board.

    With a willingness to learn, training is available as needed.

    The President shall appoint all Directors of standing committees not specifically noted or covered in the by-laws, and all members of any Special committees. He/she shall be an ex-officio member of all and any such committees.

    The President shall not have a vote in Club matters, with the sole exception of casting a deciding vote only when the Board is deadlocked on any given Club issue.

    The President shall Serve two (2) years upon election and shall not be elected to more than three (3) consecutive terms, but can be elected back in after one (1) year of not serving on the Board.

    The President may be removed from the office prior to the completion of that term by a majority vote of all sitting Directors.

  • The Secretary shall perform all duties incident to the office of Secretary and such other duties as from time to time may be assigned by the President.

    With a willingness to learn, training is available as needed.

    The Secretary shall record the minutes of the Board meetings in the Club Google Workspace Docs, working with the Technology and Communications Director to follow the WSFC standard minutes format. The Secretary shall see that all notices are duly given and/or posted in accordance with those stipulated in the By-Laws, and/or required by law. The Secretary shall be custodian of the corporate records and of the seal of the corporation. The Membership Director shall provide the Secretary with an accurate "roll book" of the voting members of the Club to include appropriate notations regarding the payment of dues and access to the post office addresses of each member.

    The Secretary shall Serve two (2) years upon election and shall not be elected to more than two (2) consecutive terms, but can be elected back in after one (1) year of not serving on the Board.

    The Secretary may be removed from the office prior to the completion of that term by a majority vote of all sitting Directors.

  • The Facilities Director is responsible for the maintenance of the facility including utilities, furnishings, supplies, and bulletin boards as well as any other needs deemed necessary by the remaining Board members.

    With a willingness to learn, training is available as needed.

    The Facilities Director may have any committee he/she feels fit to work with him or her.

    The Facilities Director shall coordinate any and all upgrades to the facility, with prior approval from the Board. The Facilities Director shall be responsible for the inventory, ordering and purchasing, if necessary, of all kitchen supplies. It is at the Facilities Director's discretion as to where to purchase supplies after assessing the best price for the Club. A weekly checklist shall be maintained so the Club does not fall short on coffee, cups, condiments, etc.

    The Facilities Director shall Serve two (2) years upon election and shall not be elected to more than two (2) consecutive terms, but can be elected back in after one (1) year of not serving on the board.

    The Facilities Director may be removed from the office prior to the completion of that term by a majority vote of all sitting Directors.

  • The Meeting Coordinator Director is responsible for getting new meetings, obtaining guest speakers for “Open Speaker Meetings” with the aid of any committee he/she feels fit to work with him or her. It is his/her responsibility to make sure there is a chairperson for all meetings held at the Club.

    The Meeting Coordinator Director shall Serve two (2) years upon election and shall not be elected to more than two (2) consecutive terms, but can be elected back in after one (1) year of not serving on the Board.

    The Meeting Coordinator Director may be removed from the office prior to the completion of that term by a majority vote of all sitting Directors.

  • The Events Director is responsible for all events held by the Club and any fundraisers. This includes monthly dinners and any other special events, which would be presented to the Board.

    With a willingness to learn, training is available as needed.

    The Events Director may have any committee he/she feels fit to work with him or her.

Flyers are created with Google Docs, Images come from the Web and are edited as needed. Often works with the Technology and Communications Director to learn and make use of these technologies.

    The Events Director shall Serve two (2) years upon election and shall not be elected to more than two (2) consecutive terms, but can be elected back in after one (1) year of not serving on the Board.

    The Events Director may be removed from the office prior to the completion of that term by a majority vote of all sitting Directors.

Even Numbered Year Elected Officers

  • The Vice President needs leadership and decision making capabilities and follows the By-Laws for the good of the club and its future.

    With a willingness to learn, training is available as needed.

    The Vice-President is responsible for assuming all duties assigned to the President in his/her absence. He/she shall assume the office of President if and when the President removes him or herself, or is removed from that office until a new election can be arranged and held.

    The Vice-President is expected to serve concurrently on a committee or committees, as needed by the Club, and as their time allows. The result is the Vice-President helps others with board responsibilities as needed.

    The Vice-President shall Serve two (2) years upon election and shall not be elected to more than two (2) consecutive terms, but can be elected back in after one (1) year of not serving on the Board.

    The Vice-President may be removed from the office prior to the completion of that term by a majority vote of all sitting Directors.

  • The Treasurer needs an accounting type background and has a permanent committee member that helps perform this position.

    With a willingness to learn, training is available as needed.

    The Treasurer shall be the principal accounting and financial officer of the club.

    The Treasurer shall have charge of and be responsible for the maintenance of adequate books of account of the Club, and be responsible therefore, and for the receipt and disbursement of from therein; and perform all duties incident to the office of Treasurer.

    The Treasurer, and any assistant, Shall give a bond for the faithful discharge of his/her duties in such sum and with such surety or sureties as the Board may require, Such expense as is incurred in the obtaining of such bonding shall be paid by the Club. Upon completion of the Treasurer's term of office, he/she shall turn over to the successor, or the Board, all funds, books, accounts and/or property pertaining to his/her office and in his/her possession.

    The Treasurer shall deposit to the credit of and in the name of the Club, all its funds, in such bank or banks that have been designated by the Board.

    The Treasurer shall make a monthly report to the Board of the club accounts and financial transactions. The Treasurer's books of account shall be the property of the Club and shall be open at all times for examination by the Board of directors or any Standing or special committee appointed by the Board of Directors.

    The Treasurer will be responsible for maintaining all Club accounts and necessary paperwork for the fiscal year to be reviewed by a certified public accountant approved by the Board when legally required.

    Fiscal responsibility is critical to the office of Treasurer. It is essential that the person holding this office have personal integrity, dedication to service, and loyalty to the Club and its purpose.

    The Treasurer shall Serve two (2} years upon election and shall not be elected to more than two (2) consecutive terms, but can be elected back in after one (1) year of not serving on the Board.

    The Treasurer may be removed from the office prior to the completion of that term by a majority vote of all sitting Directors.

  • The Membership Director needs to be detail oriented, and outgoing to solicit additional membership and renewals.

    With a willingness to learn, training is available as needed.

    The Membership Director may have any committee he/she feels fit to work with him or her.

    The Membership Director shall work with the Technology and Communications Director to recognize member's annual date of sobriety using the automated Newsletter message capabilities.

    The Membership Director often has a team that helps with the mailing of letters and updating the Anniversary Board.

Our membership board names are created using Brother P-Touch and a computer. Often works with the Technology and Communications Director to learn and make use of these technologies.

    The Membership Director shall Serve two (2) years upon election and shall not be elected to more than two (2) consecutive terms, but can be elected back in after one (1) year of not serving on the Board.

    The Membership Director may be removed from the office prior to the completion of that term by a majority vote of all sitting Directors.

  • The Literature Director keeps the Literature Cabinet and Coin Trays full with backup stock stored in the Club Office.

    With a willingness to learn, training is available as needed.

    The Literature Director may have any committee he/she feels fit to work with him or her.

    The Literature Director is responsible for the purchase, maintenance, sales and/or distribution of any and all books, pamphlets, directories, devotionals, coins, "New Comers" packets and any other 12-step program related accessories with prior approval from the Board of Directors. It will be his/her function to ensure that an ample supply of these items are available and accessible as needed, for the daily functioning of the 12-Step meetings held in the club.

    To keep costs low, shops for good deals and adjust prices as needed.

    The Literature Director shall Serve two (2) years upon election and shall not be elected to more than two (2) consecutive terms, but can be elected back in after one (1) year of not serving on the Board.

    The Literature Director may be removed from the office prior to the completion of that term by a majority vote of all sitting Directors.

  • The Technology & Communications Director is responsible for the technology and communications needs of the Club and the Board and coordination therefore; and includes the internet, social platforms and all other communications means, electronic and otherwise, used to communicate with and to members and the public on behalf of the Club, including but not limited to the Club's website, group emails, online meetings and publishing and issuing the Club newsletter.

    With a willingness to learn, training is available as needed.

    The Technology & Communications Director may have any committee he/she feels fit to work with him or her.

    The Technology and Communications Director needs expert computer, administration and web skills to be able to take care of the Squarespace Website, produce monthly Constant Contact Newsletters and Announcements, maintain the Google Workspace accounts, membership and meetings Google Sheet data, membership board, all technology at the club and training of others to use such technology.

    The Technology & Communications Director shall Serve two (2) years upon election and shall not be elected to more than two (2) consecutive terms, but can be elected back in after one (1) year of not serving on the Board.

    The Technology & Communications Director may be removed from the office prior to the completion of that term by a majority vote of all sitting Directors.
